Use case

Supplier invoice processing into Tally and other ERPs

Supplier invoices arrive by email, WhatsApp and courier. The system reads them, checks them against your rules and prepares vouchers, so your accounts team reviews exceptions rather than retyping.

The problem

An accounts team in a distributor or manufacturer might handle hundreds of supplier invoices a month. They come as PDFs in email, photos sent on WhatsApp, and paper. Each one is opened, read and typed into Tally: supplier, invoice number, date, GSTIN, items, taxes and total. Then someone checks whether it was already entered.

Typing errors, missed duplicates and late entries make month-end painful and complicate GST reconciliation. Hiring more data-entry staff does not fix it. Our team has built invoice pipelines for this exact pattern, and they work best when extraction is combined with strong validation and a clear review queue.

How it works

  1. Capture. A dedicated email inbox, a WhatsApp number and a drag-and-drop upload collect invoices. The sender and received time are recorded.
  2. Extract. Document AI reads the invoice: supplier name, GSTIN, invoice number and date, line items, HSN codes, tax split (CGST, SGST, IGST) and totals. It handles different layouts without a template per supplier. See our document AI service and OCR vs IDP for the background.
  3. Validate. The system checks that the GSTIN is well-formed, that line items add up to the total, that tax rates are plausible for the HSN code, and that dates fall in an open period.
  4. Map. The supplier is matched to a vendor in your books and expenses are mapped to the right ledger, using your history and rules. New suppliers are flagged for a one-time set-up.
  5. Detect duplicates. Supplier, number, date and amount are compared with earlier entries, including near-duplicates from a re-sent PDF.
  6. Review queue. Clean invoices pass through. Anything uncertain appears in a queue with the source image beside the extracted fields.
  7. Post. Approved invoices are posted to Tally as purchase vouchers, with the original file attached or linked.

Other ERPs

Tally is the common starting point in India, but the same pipeline can post to Zoho Books, SAP, Busy or a custom ERP through APIs or import files. The validation rules and review queue stay the same, and only the final posting step changes.

Guardrails and human review

  • You set the confidence threshold. Below it, a person reviews.
  • The system never overwrites existing vouchers. It only creates new ones after approval, unless you configure auto-posting for trusted suppliers.
  • Every posted voucher links back to the source document and the person who approved it.
  • Documents are stored with role-based access. Confirm retention periods with your accountant.

Rollout plan

We begin with a sample of recent invoices, including the awkward ones, and measure field-level accuracy. Then we add your validation rules, vendor and ledger mapping and the review queue. The next stage runs in parallel with manual entry, so you can compare vouchers line by line. Once the numbers agree, we switch capture channels on and turn on auto-posting for trusted suppliers only. After go-live we maintain it under an AMC.

Data you need to start

  • A sample of 100 or more recent supplier invoices, including scans, photos and awkward layouts.
  • Your vendor list and chart of accounts, with ledger names as they appear in Tally.
  • The entries your team made for those invoices, to compare against.
  • Your own rules: approval limits, who signs off what, and which suppliers are trusted.

A hypothetical walkthrough

This is an illustration, not a real supplier. A vendor emails a PDF invoice for packing material. The system reads the supplier name, GSTIN, invoice number, date, three line items and the tax split. It confirms the GSTIN is well-formed and the lines add up, then matches the supplier to an existing vendor and proposes the packing expense ledger from past entries. The duplicate check finds nothing similar. The totals pass, so the invoice goes to a short approval list. The accountant glances at the source image, approves, and the purchase voucher appears in Tally.

A second invoice has a total that differs by a few rupees from the sum of its lines. It does not pass. It waits in the review queue with the difference highlighted.

What changes for your team day to day

The accounts team stops typing and starts approving. The review queue becomes the daily work list. Month-end gets calmer because invoices are posted as they arrive rather than in a batch. Questions such as "was this already entered?" are answered by search rather than by memory.

Who it is for

Businesses processing from a few hundred invoices a month, especially distributors, traders and manufacturers on Tally with GST complexity. For small volumes, a simpler tool may be enough. See finance use cases, or contact us with a handful of sample invoices.

FAQ

Frequently asked questions

Can AI enter supplier invoices into Tally automatically?

Yes. It extracts and validates the invoice, then creates a purchase voucher in Tally after review, or automatically for trusted suppliers if you choose. The original document stays linked to the voucher.

Does it read GST invoices from different suppliers?

Yes. It does not need a template per supplier. It extracts GSTIN, invoice number, HSN, tax split and totals from varied layouts, and validates them against your rules.

Can it read invoices sent as WhatsApp photos?

Yes, within limits. Clear photos work well. Blurry or cropped images are flagged for a better copy or sent to the review queue.

How are duplicate invoices detected?

By comparing supplier, invoice number, date and amount with earlier entries, including slightly different re-sent copies. Suspected duplicates are held for a person to decide.

Does it work with ERPs other than Tally?

Yes. The same pipeline can post to Zoho Books, SAP, Busy or a custom ERP through APIs or import files. Only the posting step differs.
