Automation

Business process automation

We take the copy-paste, chasing and re-keying out of your back office: forms, approvals, follow-ups and reports that run themselves and connect to the tools you already use.

Where the hours go

Ask any operations manager where their team's time goes and the list is familiar: copying data from emails into spreadsheets, re-entering the same order in two systems, chasing approvals on WhatsApp, sending reminders by hand, and building the same report every Monday. None of these tasks needs judgement, but together they consume a large share of the week and introduce errors. Process automation removes them.

What we automate

  • Data entry and sync. Orders, leads, invoices and inventory moving automatically between your website, forms, email, WhatsApp, ERP, CRM, accounting software and Google Sheets, with no re-keying.
  • Approvals. Purchase requests, discounts, leave, expenses and credit limits routed to the right approver with a one-tap approve or reject, reminders and an audit trail.
  • Follow-ups and reminders. Payment reminders, renewal notices, service due dates, document requests and lead follow-ups sent on schedule by email, SMS or WhatsApp.
  • Reports. Daily sales, stock and collection reports assembled and delivered automatically, with AI-written commentary on what changed.
  • Customer onboarding. KYC collection, document checks, account creation and welcome messages run as one flow.
  • Exception handling. Rules and AI flag what needs a person (an unusual invoice, a delayed shipment, a payment mismatch) instead of a person checking everything.

Automation with AI inside

Classic automation follows fixed rules: if this, then that. It breaks when inputs are messy, such as a free-text email, a scanned invoice or a WhatsApp voice note. We combine rules with AI where it helps. An AI step can read an email and pull out the order details, classify a support request, extract fields from an attached PDF with our document AI, or draft a reply for approval. The rules then route the result. This lets you automate processes that were previously too unstructured to touch.

Our approach

1. Map the process as it really runs

We sit with the people who do the work and map every step, handoff, tool and exception, including the workarounds that never made it into the official SOP. This usually reveals steps that can simply be removed before anything is automated.

2. Pick the highest-return slice

We rank steps by volume, time taken and error cost, and automate the slice that frees the most hours first, so you see value in weeks.

3. Build on reliable foundations

We use proven workflow tools where they fit, and custom code on Google Cloud where you need more control, scale or lower running costs. Every automation has logging, retries, alerts when something fails, and a manual fallback.

4. Hand over with documentation

Your team gets clear documentation, a dashboard showing what ran and what failed, and training. We stay on through an annual maintenance contract to fix breakages when a connected system changes.

Tools we connect

Google Workspace (Gmail, Sheets, Drive, Forms), Microsoft 365, WhatsApp Business Platform, Tally, Zoho, SAP Business One, HubSpot, Salesforce, LeadSquared, Razorpay and other payment gateways, Shopify and WooCommerce, courier and logistics APIs, and custom databases. If a system has an API, an export or even a structured email, we can usually connect it.

What to automate first

A good first automation is frequent (daily or more), rule-based or nearly so, painful when it goes wrong, and owned by a team that wants the change. Common winners are order entry for distributors, shipment status updates for logistics companies, fee reminders for schools, and collections follow-ups in finance. FAQ

Frequently asked questions

What is business process automation?

It is the use of software to run repetitive business steps such as data entry, approvals, reminders and reports without manual effort, connecting the tools you already use so work moves automatically and is logged.

How is this different from RPA?

Robotic process automation (RPA) mimics clicks on a screen and can break when the screen changes. We prefer direct integrations through APIs and databases, which are more reliable, and add AI steps to handle unstructured inputs like emails and PDFs.

Do we need to replace our existing software?

No. Automation connects the systems you already have. We only suggest new software when an existing tool cannot be connected or is the real cause of the manual work.

Can you automate WhatsApp messages?

Yes, using the official WhatsApp Business Platform for reminders, confirmations, updates and two-way flows, with approved message templates and opt-in handling.

How quickly can we see results?

A first automation for a single high-volume process is often live within a few weeks. We deliberately start small so the team sees hours saved quickly, then extend to related processes.

What happens if an automation fails?

Every workflow we build logs each run, retries temporary failures, alerts a named person when something cannot complete, and has a manual fallback, so nothing silently drops.
