Document AI

Document AI, OCR and intelligent document processing

We turn the paperwork your team retypes every day (invoices, purchase orders, forms, lab reports, KYC) into structured, validated data that lands directly in your systems.

The problem: data trapped in documents

Most businesses still receive important information as PDFs, scans, photos taken on a phone, and paper. Someone opens each one, reads it and types the values into an ERP, a spreadsheet or a CRM. It is slow, it is error-prone, and it does not scale: when volume doubles, you hire more people to type. Document AI removes that step. Documents go in, clean data comes out, and your team only looks at the exceptions.

OCR, IDP and what we actually build

OCR (optical character recognition) converts an image of text into machine-readable text. It is a necessary first step, but on its own it gives you a wall of characters, not a usable record. Intelligent document processing (IDP) goes further: it classifies the document, finds the fields you care about (invoice number, GSTIN, line items, totals, patient name, test values), checks them against rules and your master data, and sends the result to your systems. We explain the difference and when each is enough in OCR vs IDP: what to choose.

A typical pipeline we build looks like this:

  1. Capture. Documents arrive from email, WhatsApp, a shared drive, a scanner or a mobile app.
  2. Classify. The system identifies the document type: invoice, delivery challan, purchase order, bank statement, ID proof, lab report and so on.
  3. Extract. Modern OCR and multimodal AI models read printed text, tables, handwriting and stamps, including mixed English and Indian-language documents.
  4. Validate. Extracted values are checked: totals add up, GSTINs are well-formed, dates are valid, vendors and SKUs match your master data, and duplicates are caught.
  5. Review. Anything below a confidence threshold goes to a simple review screen with the source image beside the extracted fields. Corrections are logged and used to improve the model.
  6. Integrate. Approved data is pushed to Tally, SAP, Zoho, a custom ERP, Google Sheets or your database through APIs or scheduled exports.

Why templates are not enough

Older OCR tools rely on templates: you draw boxes on a sample invoice and the tool reads text from the same positions. That works until a supplier changes their layout, or you add a hundred new suppliers. The systems we build use layout-aware and multimodal models that understand a document the way a person does, by meaning rather than position, so a new format usually works without a new template. Rules and master-data checks then catch the cases where the model reads something plausible but wrong.

Accuracy, security and control

We measure field-level accuracy on a sample of your real documents during the prototype, so you know what to expect before go-live. Confidence scores decide what is auto-approved and what is reviewed, and you choose the threshold. Documents can be processed in an Indian Google Cloud region, access is role-based, and every change to a record is audited. If documents contain personal data, we design retention and deletion to fit your obligations under India's Digital Personal Data Protection Act.

Where document AI pays off fastest

The best first projects have high volume, a clear destination system and a measurable cost of manual entry: accounts payable in a distributor, purchase orders in a manufacturer, lab reports in a diagnostic lab, or loan documents in a finance company. Pair it with workflow automation and the approval, posting and follow-up steps can be automated too.

FAQ

Frequently asked questions

What is the difference between OCR and IDP?

OCR converts an image of text into text. Intelligent document processing (IDP) adds classification, field extraction, validation, human review and integration, so the output is a clean record in your system rather than raw text.

Can it read handwritten documents?

Modern models read clear handwriting reasonably well, especially in structured forms. Accuracy on handwriting is lower than on print, so we route low-confidence handwritten fields to a reviewer and measure performance on your real samples first.

Does it work with Hindi, Marathi and other Indian languages?

Yes. Current OCR and multimodal models support many Indian scripts, and we regularly handle documents that mix English with an Indian language. We test your specific languages and formats during the prototype.

Can it post data into Tally, SAP or Zoho?

Yes. We integrate with accounting and ERP systems through their APIs, import formats or connectors, and with Google Sheets, databases and custom software. The integration is part of the build, not left to you.

How do you handle documents with personal data?

Documents can be processed in an Indian cloud region with encryption, role-based access and audit logs. We set retention and deletion rules with you and design the system to support your obligations under the DPDP Act.

How much manual work does IDP remove?

That depends on document quality and variety. In most projects the majority of documents pass straight through and people only review exceptions. We measure the straight-through rate on your own documents during the prototype.
